Ensuring a smooth handover and seamless contract implementation

Mobilisation and transition services are crucial facility management processes. The aim is to ensure a smooth changeover when new facility management providers are brought in, or when existing contracts are renewed.

At Olive Arabia, we’ll assess your current operations and provision and engage with suppliers and stakeholders to draw up comprehensive plans to maintain service continuity during the handover.

Mobilisation

Mobilisation is the transitional phase between a facility management contract being awarded and the start of service provision. When it’s conducted properly, mobilisation provides a solid platform for a lasting and positive relationship between supplier and client.

Communication is the key to successful mobilisation. It’s vital that all parties get to know each other, so they can work together effectively during the handover and beyond. At Olive Arabia, we invest significant time in building trust, and gaining a thorough understanding of each other’s cultures and expectations, so both sides are fully aligned and pulling in the same direction from the outset.

During this phase, we’ll also undertake risk assessments and compliance activities, ensure all the necessary information is in the correct hands, and prepare for a smooth handover.

Transition

The transition phase focuses on implementing changes in management, systems and technologies while minimising downtime and disruption for users. We begin by compiling detailed plans and assessments, in collaboration with all the relevant stakeholders. Where new technology, equipment and process are being introduced, we’ll ensure staff are aware and prepared, providing training where necessary.

Once we’ve rolled out the new provision, we’ll monitor and report on the implementation, reviewing and adjusting as necessary based on performance metrics and people’s feedback.
